How One Client Saved $18,000 in Payroll Taxes with Section 125
A real-world case study showing how a Benefits Genius client reduced annual payroll taxes by $18,000 through a Section 125 cafeteria plan implementation.
The Situation
A mid-sized employer came to Benefits Genius paying full FICA taxes on their entire payroll. Their employees were already paying for health insurance, dental coverage, and vision — but all of it was being deducted after taxes. The money was going to the same place, but the tax treatment was costing both sides thousands.
This is more common than you'd think. Many companies offer benefits but never set up the Section 125 wrapper that makes those deductions pre-tax. The benefits exist, but the tax savings don't.
What Changed
Working with a Benefits Genius partner, the company implemented a Section 125 cafeteria plan. The process involved three steps:
- Plan document creation — a legal document required by the IRS that outlines which benefits are offered and the rules governing the plan
- Employee enrollment — existing benefit elections were wrapped into the new Section 125 structure during the next enrollment window
- Payroll integration — the payroll system was updated to process deductions as pre-tax rather than post-tax
The entire process took less than two weeks. Employees didn't lose any coverage — they kept the same benefits they already had. The only thing that changed was how those deductions were classified for tax purposes.
The Results
Once the plan was active, the employer immediately stopped paying FICA taxes on every dollar employees contributed to qualified benefits. At 7.65% of employer-side FICA on approximately $235,000 in total annual pre-tax deductions across the company, the savings hit $18,000 per year.
The employees saved too. Collectively, they kept more of their paychecks by avoiding federal income tax, state income tax, and employee-side FICA on those same deductions. Most employees saw their take-home pay increase by $40–$80 per month without any change in their benefits.
Why It Matters
This wasn't a risky strategy or an aggressive tax play. Section 125 is one of the most established, IRS-approved mechanisms in the tax code — it's been available since 1978. The only reason this company wasn't already saving was that nobody had set up the plan document and restructured the deductions.
That's the gap Benefits Genius exists to close. The savings are real, the compliance is straightforward, and the implementation is faster than most people expect.
